The organization is one of Nevada's largest community disability agencies serving 8,500 people with disabilities and their families each year.

Summary of Position:The Administrative Assistant is a professional position which reports directly to the Independent Living Services Manager and also to the Director of Assistive Technology. This position works closely with IL/AT Staff to ensure quality services are provided by providing prompt and efficient support with program operations including maintaining current and accurate information regarding program policies, entering case management information into appropriate systems, routinely audit files to ensure completeness and accuracy, and prove direct support with administrative tasks including answering phones, scheduling appointments, and assisting with program projects.

Responsibilities and Duties:

  • Answer and direct phone calls accordingly; ensuring calls are routed to voicemail if appropriate.
  • Communicate professionally in a timely manner through email, telephone and other correspondence.
  • Provide information and referral to individuals using telephone and email.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Maintain current information for programs on websites, referrals pages, etc.
  • Perform routine file audits to ensure compliance with policy and procedures. Ensure files are updated as necessary.
  • Conduct quality assurance surveys and data collection and provide summary analysis of results.
  • Process incoming referrals and authorizations.
  • Conduct client intake.
  • Schedule and reschedule appointments for clients as needed.
  • Processing incoming and outgoing mail.
  • Responsible for assisting in the maintaining of client files.
  • Responsible for timely and accurate data entry.
  • Perform other duties as assigned.

  • Ability to take initiative in completing tasks and/or projects.
  • Ability to follow directions
  • Must comply with HIPAA regulations and adhere to Easter Seals Nevada's confidentiality policy.

Minimum Required Education and Experience

  • Minimum of a high school diploma or equivalent
  • Must possess effective verbal, written and interpersonal communication skills
  • Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint)
  • Bilingual (Spanish) required
